Packaging and Shipping Instructions

Drive components are delicate, electric shock or jarring of the hardware can cause additional damage and make the recovery more difficult.

To increase the likelihood of a successful recovery of your data, please protect your media during shipment.

How to Pack Your Media

All Media

Discharge personal static buildup by touching a grounded metal object before moving a computer, hard drive, or another component.
When possible, put the media in an antistatic bag or similar material to prevent Electrostatic Discharge (ESD).

Internal/External/SSD 

  • The media should be wrapped in bubble wrap, foam or a bag and placed in a box - Ontrack suggests a box twice the size of your media. The box should have enough room for both the media and some type of additional packing material that allows for NO movement. The box should also have sufficient barrier room around the inside edges to absorb impact during shipping.
  • Do not use packing pellets, peanuts, air bags, or newspaper.
  • Place the completed Service Request Form inside the package and seal the box with nylon or vinyl tape along all edges and openings.
  • Place the label on the outside of the package.
  • Consider getting insurance on any hardware that has significant value. You cannot insure the value of the data.
Gray-Hard Drive 7 Reformatted or Deleted

Multiple Drives

  • Use an antistatic bag and bubble wrap to cover each individual drive before placing together inside the package. Care should be taken to ensure the individual drives are not loose and cannot bang into each other.
  • Place the media in a box - Ontrack suggests a box twice the size of your media. The box should have enough room for both the media and some type of additional packing material that allows for NO movement. The box should also have sufficient barrier room around the inside edges to absorb impact during shipping.
  • Do not use packing pellets, peanuts, air bags, or newspaper.
  • Place the completed Service Request Form inside the package and seal the box with nylon or vinyl tape along all edges and openings.
  • Place the label on the outside of the package.

Gray- By Device 4- Server RAID NAS Recovery

NAS/SAN/Server

  • Please contact your Data Services Representative to discuss what items that are needed to ship in for your recovery.
  • If required to send in the server/SAN/NAS enclosure or disk shelves:
    • Put the storage products in an antistatic bag.
    • If possible, use the original packaging/box from the manufacturer to send in the server/SAN/NAS.
    • If not available, wrap the equipment with bubble wrap to protect the product from damage during transportation. Use a heavy-duty box that is larger than the equipment with at least 2” of stiff foam all around the equipment to protect it from shock.
  • Do not use packing pellets, peanuts, air bags, or newspaper.
  • Place the packing slip inside the package and seal the box with nylon or vinyl tape along all edges and openings.
  • Place the label on the outside of the package.
  • Consider getting insurance on any hardware that has significant value. You cannot insure the value of the data.

Including your service order number on the outside of your shipped package allows Ontrack's receiving department to begin processing your drive in quick fashion. This will optimize turnaround time, especially during the evaluation phase.
